Build and publish the schedule
Create sites and roles, build shifts on the schedule, publish so the team can see their week, and manage day-to-day changes in the web admin.
Public: Schedulers and managersMis à jour: 2026-09-08
Prerequisites
You need at least one location (job site) and people who can be assigned to shifts. Locations are managed in Settings. People and roles are managed under People.
Create shifts
- Open Schedule in the web admin.
- Pick the week (or day view) you are planning.
- Create a shift: choose location, role or position if your org uses them, start and end time, and the assignee (or leave it open for later claiming).
- Repeat for the rest of the week. Use copy or templates if your workspace offers them for repeating patterns.
- Review coverage for each site before you publish.
Publish so the team sees it
Draft shifts are for planners. Publishing makes the schedule visible to assigned employees in the mobile Schedule tab and related shift screens.
- Review the week for conflicts, missing coverage, and wrong sites.
- Publish the schedule (or the shifts you intend to release).
- Ask a teammate on mobile to pull to refresh Schedule and confirm their shifts appear.
Employees generally see their own shifts. Managers see org or site coverage depending on permissions.
Day-to-day changes
After publish, you can still edit shifts, reassign people, or cancel coverage when operations change. Prefer clear communication in chat or announcements when a published week changes substantially.
Open shifts, swap requests, and cover requests are handled under Schedule requests and on mobile. See the open shifts, swap, and cover guide for that workflow.
