Open shifts, swaps, and cover

Publish open shifts for claiming, let teammates propose swaps, request cover, and decide requests as a manager.

Open shifts

An open shift is scheduled coverage without a final assignee (or released for others to take). Employees can claim or request open shifts from mobile, depending on how your org handles open shift rules.

  1. Create or mark shifts as open when building the schedule.
  2. Publish so eligible employees can see them under Open shifts.
  3. On mobile, employees open the shift and claim or request it.
  4. Managers review outcomes under Schedule → Requests (open shifts tab) and keep the published schedule accurate.

Swap with a teammate

A swap trades one upcoming shift for another. The employee picks a shift they will give up and a coworker's shift they want, then submits a swap request for approval when required.

  1. On mobile, start a swap from the shift or swap flow.
  2. Choose your shift to trade, then choose the coworker shift to take.
  3. Submit the request and wait for manager (and any required peer) approval.
  4. Managers decide under Schedule → Requests on the swap tab.

You need an upcoming shift of your own before you can propose a swap.

Cover requests

Cover is for when someone needs another person to take their shift without a full two-way swap. Employees create a cover request from mobile; managers approve or deny in Requests.

  1. Employee opens Cover and selects the shift that needs coverage.
  2. Submit the request with any note your process requires.
  3. Manager reviews under Schedule → Requests and updates the schedule when approved.
